1. Promoter

This competition is organised by the Dysert O’Dea Clan Association (“the Promoter”), a voluntary community organisation.


2. Competition Overview

The competition invites participants to design a banner image for use on the O’Dea Clan website: https://odeaclan.org/

The winning design will be used as the main website header/banner image and may also be used in related promotional materials associated with the Dysert O’Dea Clan.


3. Eligibility / Who Can Submit an Entry

The competition is open to:

  • Members of the O’Dea Clan; and

  • Members of the general public.

Entrants under 18 years of age must have permission from a parent or legal guardian.

Entrants may submit more than one entry. Each entry must be submitted separately via the official entry form.

The Promoter reserves the right to reject entries that are incomplete, inappropriate, or do not comply with these Terms and Conditions.


4. Submission Requirements

Each entry must meet the following requirements:

  • Image dimensions: 1770 pixels wide, with a height between 180 and 300 pixels (inclusive).

  • File format: TIFF, PNG, JPG, or JPEG.

  • Quality: High-resolution image suitable for web display without visible pixelation or compression artefacts.

  • Originality: Entries must be original artwork created by the entrant, or must incorporate only properly licensed or royalty-free elements for which the entrant holds valid usage rights.

Additional conditions:

  • The Promoter may resize, crop, or adjust submitted designs as necessary for website implementation or publication in related promotional materials.

  • Entries that do not meet these specifications may be rejected at the Promoter’s discretion.

  • Entrants must ensure that their submission does not infringe any third-party intellectual property rights.


5. How to Submit Your Entry

Entries must be submitted using the official online form: https://odeaclan.org/banner-image-design-competition/online-form/

Each submission must include:

  • The completed entry form.

  • The design file in an accepted format (TIFF, PNG, JPG, or JPEG).

  • The entrant’s full name and email address.

  • Confirmation that the entrant has read and agrees to these Terms and Conditions.

Only entries submitted via the official online form will be accepted. Entries submitted by email or other methods may not be considered.


6. Closing Date

Entries must be received by TBD.

Late entries will not be accepted.


7. Prize

The prize consists of one (1) of the following options, at the winner’s choice:

Option A — Cash Prize

A cash prize of €200 (Euro).

For information purposes only, this is approximately equivalent to:

  • AUD $340

  • NZD $400

  • CAD $325

  • USD $235

These conversions are indicative only and may vary due to exchange rate fluctuations. The prize will be paid in Euros only.


Option B — Clan Gathering Registration

Alternatively, the winner may choose free registration for one (1) adult to attend the next O’Dea Clan Gathering in Ireland in 2028.

This includes:

  • Standard adult registration fee only.

This does not include:

  • Travel costs.

  • Accommodation.

  • Meals (unless otherwise specified).

  • Any additional personal expenses.

If the Clan Gathering does not proceed for any reason, the Promoter reserves the right to substitute this option with the €200 cash prize.


Prize Conditions

  • The winner must select one prize option only.

  • The prize is non-transferable and cannot be exchanged for other benefits.

  • No cash alternative is available for the Clan Gathering option.


8. Judging and Selection Process

Following the closing date, eligible entries will be published on the O’Dea Clan website for voting.

Members of the O’Dea Clan will be invited to rate each entry using a 5-star rating system:

  • 5 Stars = Excellent

  • 4 Stars = Very Good

  • 3 Stars = Good

  • 2 Stars = Fair

  • 1 Star = Poor

The entry with the highest overall rating at the close of voting will be selected as the provisional winner.

Voting Rules

  • Each Clan member may vote on each entry once only.

  • Members must be logged into the website to vote.

  • Each member may vote for their own entry.

  • Duplicate votes, automated voting, or manipulation attempts may result in disqualification of votes or entries at the Promoter’s discretion.

Tie-breaks

In the event of a tied vote between two or more entries, the outcome will be decided by a casting vote exercised by the Clan Chieftain (or their nominated representative).

The casting vote will be based on overall suitability for use as the O’Dea Clan website banner, including design quality, relevance, and practical usability.

The Clan Chieftain’s decision in the event of a tie is final.

Final Decision

The Promoter reserves the right not to award a prize if no suitable entry is received. The Promoter’s decision in all matters relating to the competition is final.


9. Winner Notification

The winner will be contacted via email within a reasonable time after voting concludes.

If the winner does not respond within 14 days, the Promoter reserves the right to select an alternative winner.


10. Copyright and Intellectual Property

Ownership of Entries

Entrants retain copyright in their submitted designs.

Licence to Use Entries

By entering the competition, each entrant grants the Promoter a non-exclusive, worldwide, royalty-free, perpetual licence to:

  • Use the submitted design on the O’Dea Clan website.

  • Modify, resize, or adapt the design for technical or aesthetic purposes.

  • Reproduce and display the design in digital and promotional materials relating to the O’Dea Clan.

Winning Entry

The winning entrant agrees that their design may be used as the official website banner and may be adapted as necessary for implementation.

Third-Party Material

Entrants warrant that their submissions do not infringe any third-party rights and that all elements used are either original or properly licensed.


11. Data Protection (GDPR)

Data Controller

The data controller is the Dysert O’Dea Clan Association.

Data Collected

We may collect:

  • Name.

  • Email address.

  • Submitted design files.

  • Optional design descriptions.

Purpose of Processing

Personal data is used for:

  • Managing competition entries.

  • Contacting entrants.

  • Administering voting and judging.

  • Announcing the winner.

Legal Basis

Processing is based on consent and legitimate interest in running the competition.

Retention

Personal data will be retained for up to 12 months after the competition closes and then deleted, unless legally required otherwise.

Sharing

Personal data will not be sold or shared with third parties except where required by law.

Publication

The winner’s name may be published on the O’Dea Clan website unless they request otherwise.

Entrant Rights

Entrants may request access, correction, or deletion of their personal data by contacting: webmaster@odeaclan.org


12. Liability

The Promoter is not responsible for:

  • Lost, delayed, or corrupted entries.

  • Technical issues affecting submission or voting.

  • Costs incurred by entrants in preparing submissions.

Nothing in these terms excludes liability where it cannot legally be excluded under Irish law.


13. General

  • The Promoter reserves the right to cancel, amend, or suspend the competition where necessary.

  • The Promoter’s decision in all matters is final.

  • These Terms and Conditions are governed by the laws of Ireland. By entering the competition, entrants agree that any disputes arising in connection with the competition shall be subject to the exclusive jurisdiction of the Irish courts.
